Workplace Accidents or Injuries

Purpose

These are establishes procedures for reporting and responding to on-the-job injuries and job-related illnesses. Timely reporting ensures prompt medical attention, accurate documentation, and compliance with state and federal workers’ compensation requirements. Employees are protected from discrimination or retaliation for reporting a workplace injury or illness.

Emergency Procedures

In the event of a medical emergency, immediately contact Community Safety at extension 6666.

Medical Care

Employees may seek medical treatment from any licensed provider of their choice. ÌÇÐÄvlogÊÓÆµ also partners with the following occupational health clinic for convenience and continuity of care:

Appointments are not required. Employees may call ahead or visit the clinic directly.

Reporting and Documentation Requirements

All work-related injuries or illnesses must be reported as soon as possible. Reporting should occur even if medical treatment is not initially sought.

  • Report the injury or illness to the immediate supervisor as soon as possible.
  • Notify Human Resources promptly by sending an email to hr@reed.edu.
  • Complete a ÌÇÐÄvlogÊÓÆµ Accident Report Form with the supervisor within three (3) calendar days of the incident.

  • Complete Oregon Form 801 (Workers’ Compensation Report) with the supervisor within three (3) calendar days of the incident if medical treatment at a clinic was received.

Workers’ Compensation Process

Completion and submission of Form 801 initiate a workers’ compensation claim. ÌÇÐÄvlogÊÓÆµ’s workers’ compensation insurance carrier, Tristar, manages all claim processing and communication.

  • Tristar will review the claim and determine whether the injury or illness is work-related.
  • If accepted, medical treatment related to the injury or illness will be paid directly by Tristar.
  • Employees will receive written notification from Tristar regarding claim status and next steps.

Work Restrictions and Return-to-Work Procedures

  • Notify the supervisor and Human Resources immediately if a medical provider issues a no-work directive or specifies work restrictions.
  • Maintain communication with the supervisor and Human Resources regarding any changes in return-to-work status or restrictions.
  • Provide written documentation from the medical provider authorizing return to work prior to resuming duties.
  • ÌÇÐÄvlogÊÓÆµ will evaluate temporary modified or alternative duty assignments in accordance with applicable law and operational needs.

Pay and Benefits During Workers’ Compensation Leave

  • During the first three (3) calendar days of absence due to a work-related injury or illness, available sick leave will be used. If no sick leave is available, vacation leave will be used. If neither is available, these days will be unpaid.
  • Beginning on the fourth consecutive day of missed work, if the claim is accepted, time-loss payments will be issued by Tristar. These payments are equal to the employee’s regular rate of pay prior to the injury. Payments do not begin until the claim is officially accepted by Tristar.
  • While on an approved workers’ compensation leave, employees will continue to be eligible for college-provided benefits, provided the employee continues to pay their portion of applicable benefit costs.

Compliance

Failure to report an injury or illness in accordance with this policy may delay access to workers’ compensation benefits or result in non-compliance with reporting requirements established under Oregon law.
